Exports & Share information - Manage Briefing Book templates

This article explains how to manage Briefing Books templates in ClearPoint.

Generating reports takes only a matter of seconds in ClearPoint thanks to Briefing Book templates. You can also select the intended recipients, duplicate a Briefing Book template, and more.


Add recipients to a Briefing Book

By adding recipients to a Briefing Book, you can have your reports automatically emailed to other ClearPoint users when they are generated. You can also choose to have the report delivered only to yourself.

  • Select Documents from the Control Panel

  • Click on Briefing Books under Templates

  • Click on the three dots icon next to the desired Briefing Book

  • Select Edit Template

    • A new window will appear with options to edit

  • Navigate to the Recipients tab

  • Select the users who will receive the Briefing Book

  • Once you are done with your changes, click Save


Duplicating a Briefing Book template

You can duplicate a Briefing Book template to save time from creating a Briefing Book template from scratch.

  • Select Documents from the Control Panel

  • Click on Briefing Books under Templates

  • Click on the three dots icon next to the desired Briefing Book

  • Select Duplicate Template

  • Under New Template Name, enter the name for the duplicated Briefing Book

  • Click Duplicate

  • You will find the duplicated Briefing Book under Templates


Generating a Briefing Book template

  • Select Documents from the Control Panel

  • Click on Briefing Books under Templates

  • A list of previously created templates will appear

  • Click on the Start/Generate icon for the template you would like to use

  • Select the Reporting Period from the dropdown menu

  • Mark the checkbox next to Include Recipients, and select the users you want to send the Briefing Book, you can also choose to Select All.

  • Click on Generate

  • You will receive a notification once the Briefing Book is ready, you can download it from there, or you can also click on the Alerts icon at the upper right-hand side of your screen to download the completed Briefing Book.


Report Generation Percent Complete

Report Generation allows you to see the percent completion of your report generation. This will give you a visual estimate of how much longer it will be before the PDF is complete.

  • Select Documents from the Control Panel

  • Click on Briefing Books under Templates

    • A list of previously created templates will appear

  • Click on the dropdown arrow next to the template you want to see the percentage of completion

    • You will find the percent of completion and the last generated Briefing Books


Scheduling automatic report generation

Scheduling reports in ClearPoint is an important part of automating your reporting process. By creating the right schedules at the right time, administrators can ensure a smooth reporting cycle.

  • Select Automation from the Control Panel

  • Click on Schedules

  • Click on the Plus icon

  • Under Schedule name, enter the name of the new Schedule, ‘Briefing Book’.

  • Click the green check box next to Enabled to configure a schedule

  • Select Generate Briefing Book under Scheduled Task dropdown menu

  • Select the desired Briefing Book from the dropdown menu under Briefing Books

  • Choose the First Run Date by entering the date or using the calendar icon

  • Set a Run Time by entering the time

  • Mark the checkbox next to Recurrence to specify a frequency


  • Choose the Recurrence from the options Daily, Weekly, and Monthly in the Repeats dropdown, and indicate the frequency by typing the number of days, weeks, or months.


  • Additionally, you can select the End By Date by typing in a date or clicking the calendar button and selecting a date


  • Once you are done with your configuration, click Save

  • You will find your newly created Briefing Book schedule under Manage Schedules

Note: You can also create a schedule for account recalculations using the steps provided above. Simply select Recalculate Account under the Scheduled Task dropdown menu.


Downloading a Briefing Book

A toaster will appear at the top of the page when the briefing book finishes, including a link to download it. The generated briefing book will also be sent to your email address or accessed from the Alerts Inbox.

  • Select Documents from the Control Panel

  • Click on Briefing Books under Documents

  • A list of previously created templates will appear

  • Click on the Download icon


Notifications section

Briefing books will take a few minutes to generate. Once they are finished, a toaster will appear at the top of the page with a link to download the PDF. In case you miss the toaster, the notifications icon in the upper right-hand corner of the screen will also update.

  • Click on the Bell icon in the upper right-hand side of your screen

  • Locate the desired Briefing Book

  • Click on the Download icon

  • You will also receive an email notification letting you know that the briefing book has been generated, as well as an attached copy.
