Alerts & Notifications - Notifications for your reporting process

This article walks through how to configure notifications for your reporting process in ClearPoint.

With ClearPoint notifications, you can confidently streamline your reporting process and stay informed about any significant changes to the elements you are responsible for.


Status Alerts

  • From the Control Panel click on Automation

  • Select Notifications

  • Click on the Plus icon

  • Under Name, enter the name of the Notification, in this example, ‘Status alerts’.

  • Choose an element from the Element Type dropdown that you want to be notified about.

  • Select when to notify the recipient, for example, you can select to notify the recipient when the Status Equals Below Plan.

  • Navigate to the Elements and Recipients tab

    • You will be prompted to Save

  • Click the link button in the top right to select specific elements to be notified about, in this example, we are going to select ‘% of tickets with direct routes’

  • Click Save once you have made your selection

  • Under Quick Map Users use the checkboxes to notify the Owner and Collaborators

  • Select the intended Recipients from the dropdown menu

    • You can either use the Select None or Select All buttons

  • Once you are done with your selection, click Quick Map Users

    • The intended recipients will be displayed automatically under the element you have chosen

  • Once you are done with your configuration, click Save

  • The Notification will appear under Manage Notifications


Project Alerts

We are going to start by creating a new notification template, please see this help center article for step-by-step instructions.

In this example, we are going to set up a notification for your Initiatives, the same process can be carried out for Milestones as well.

  • From the Control Panel click on Automation

  • Select Notifications

  • Click on the Plus icon

  • Under Name, enter the name of the Notification, in this example, ‘Project alert’.

  • Choose Initiative as the Element Type from the dropdown menu.

  • Select when to notify the recipient, for example, you can select to notify the recipient when the Status Equals Below Plan.

  • If you want to be notified when your project is halfway complete, mark the checkbox next to Percent Complete

  • Use the dropdown menus to set the criteria, in this example, Greater Than or Equal 50

  • To be notified when your project has been marked as complete, check the box next to Completed

  • Use the dropdown menus to set the notification criteria for when Completed Equals True

  • To be notified when someone updates the Analysis or Recommendations information for your projects, which may indicate key turning points you want to be aware of.

  • Check the boxes next to Analysis and Recommendations and use the dropdown menus to set the notification criteria to Any Change.

  • Navigate to the Elements and Recipients tab

    • You will be prompted to Save

  • Click the link button in the top right to select specific elements to be notified about, in this example, we are going to select ‘Purchase 5 new planes’

  • Click Save once you have made your selection

  • Under Quick Map Users use the checkboxes to notify the Owner and Collaborators

  • Select the intended Recipients from the dropdown menu

  • Once you are done with your selection, click Quick Map Users

  • The intended recipients will be displayed automatically under the element you have chosen

  • Once you are done with your configuration, click Save

  • The Notification will appear under Manage Notifications


Analysis Alerts

We are going to start by creating a new notification template, please see this help center article for step-by-step instructions.

In this example, we are going to set up a notification for your Objectives, the same process can be carried out for other elements as well.

  • From the Control Panel click on Automation

  • Select Notifications

  • Click on the Plus icon

  • Under Name, enter the name of the Notification, in this example, ‘Analysis alerts’.

  • Choose Objective as the Element Type from the dropdown menu

    • This example is an analysis alert for changes in the 'Analysis' field of objectives.

  • Check the box next to Analysis

    • Use the dropdown menu to set the criteria for changes in the content of the analysis field.

    • In this example, select Contains. Use the dropdown menu to specify the exact terms found in the content of the analysis field that will trigger a notification.

      • For this example, type the words "bad", "below", and "unfortunate" to be notified if there has been a negative analysis of your Objectives.

  • Navigate to the Elements and Recipients tab

    • You will be prompted to Save

  • Click the link button in the top right to select specific elements to be notified about, in this example, we are going to select ‘Direct Routes’

  • Click Save once you have made your selection

  • Under Quick Map Users use the checkboxes to notify the Owner and Collaborators

  • Select the intended Recipients from the dropdown menu

  • Once you are done with your selection, click Quick Map Users

    • The intended recipients will be displayed automatically under the element you have chosen

  • Once you are done with your configuration, click Save


Owner Assignments

We are going to start by creating a new notification template, please see this help center article for step-by-step instructions.

In this example, we are going to set up a notification about ownership assignments.

  • From the Control Panel click on Automation

  • Select Notifications

  • Click on the Plus icon

  • Under Name, enter the name of the Notification, in this example, ‘Owner assignment alert’.

  • Choose Action Item as the Element Type from the dropdown menu

    • This example is for the common scenario of being assigned ownership of an action item during a meeting. This notification can be set up for the other element types as well.

  • Check the box next to Owner

    • Use the dropdown menu to set the criteria for what should be identified in the Owner field.

    • For this example select Equals, and use the dropdown menu to specify which user being set as the owner will trigger the notification.

  • Navigate to the Elements and Recipients tab

    • You will be prompted to Save

  • Click the link button in the top right to select specific elements to be notified about, in this example, we are going to select ‘Expedite recruitment process for new engineers’

  • Click Save once you have made your selection

  • Under Quick Map Users use the checkboxes to notify the Owner and Collaborators

  • Select the intended Recipients from the dropdown menu

  • Once you are done with your selection, click Quick Map Users

    • The intended recipients will be displayed automatically under the element you have chosen

  • Once you are done with your configuration, click Save


Changes to Elements You Own

We are going to start by creating a new notification template, please see this help center article for step-by-step instructions.

In this example, we are going to set up a notification for Milestones.

  • From the Control Panel click on Automation

  • Select Notifications

  • Click on the Plus icon

  • Under Name, enter the name of the Notification, in this example, ‘Changes to my milestones’.

  • Choose Milestones as the Element Type from the dropdown menu

    • This example is for when another user changes information in a milestone that you are the owner of. This notification can be set up for the other element types as well.

  • Check the box next to Owner

  • Use the dropdown menus to select Equals and select your own name from the list of users.

  • Check the box next to Milestone Percent Complete

    • Use the dropdown menu to set the criteria for change in the Milestone Percent Complete field

    • For this example, select Any Change to be notified if another user alters your progress in ClearPoint

  • Check the box next to Completed

    • Use the dropdown menu to set the criteria for changes in the Completed field

    • For this example, select Equals True to be notified if someone marks your milestone as completed

  • Navigate to the Elements and Recipients tab

    • You will be prompted to Save

  • Click the link button in the top right to select specific elements to be notified about, in this example, we are going to select ‘Create New Website Outline’

  • Click Save once you have made your selection

  • Under Quick Map Users use the checkboxes to notify the Owner and Collaborators

  • Select the intended Recipients from the dropdown menu

  • Once you are done with your selection, click Quick Map Users

  • The intended recipients will be displayed automatically under the element you have chosen

  • Once you are done with your configuration, click Save
