This article walks through how to automate actions in ClearPoint to run on a schedule.

ClearPoint schedules let you configure specific actions to run automatically saving you time and effort. You can do things like generate Briefing Books automatically, trigger essential Workflow emails, and more.


Managing schedules

Setting and managing schedules is part of any good reporting process. Schedules help users automate the reporting cycle by automatically generating reports, sending reminder emails, and more.

From the Manage Schedules page, administrators and scorecard administrators can view all their schedules and better manage their reporting cycle.

  • From the Control Panel click on Automation

  • Select Schedules

  • From the Manage Schedules page, users can view all the schedules in their ClearPoint account

  • Use the Filter Schedules search bar to enter keywords and find results easily

  • Click on the dropdown menu to search by type

  • To include deleted or disabled schedules on this page, check Show Deleted or Show Disabled.

  • Click the three dots icon next to a Schedule

  • Select Duplicate Schedule

  • Under Schedule Name, you can give a name to differentiate the duplicated schedule

  • Choose the First Run Date and Run Time

  • Click Duplicate

  • You can also select Delete Schedule

  • Confirm this is what you want to do by clicking the Delete red button

    • Important: Deleting a schedule stops the schedule from running and removes the schedule from the account.

    • Disabling a schedule only stops the schedule from running. The schedule will still appear in the account and can be enabled at any time.


Adding a schedule

In this example, we are going to create a recurrent Schedule to generate a Briefing book for a Monthly business review meeting.

  • From the Control Panel click on Automation

  • Select Schedules

  • Click on the Plus icon to add a Schedule

  • Under Name, enter the name of the new Schedule, in this example, ‘Monthly business review’.

  • Mark the checkbox next to Enabled, this will let the system know your Schedule is actively working.

    • An empty checkbox means the Schedule is Disabled and it will not run automatically

  • Use the Scheduled Task dropdown menu to choose the type of action you will

    automate, in this example, ‘Generate Briefing Book’.

  • Select the appropriate Briefing book from the Briefing Books dropdown menu

  • Select the First Run Date and Run Time

  • Mark the checkbox next to Recurrence to set an automated recurrence

    • In this example, since we are generating a Briefing book for a Monthly business review meeting, we are going to select the following parameters

      • Repeats Monthly

      • Every 1 Month

      • The third Friday

      • No End Date because we want to run this schedule indefinitely

  • Once you are done with your configuration, click Save


Editing a Schedule

  • From the Control Panel click on Automation

  • Select Schedules

  • Click the edit Pencil icon next to the Schedule you want to edit

  • From the Schedule tab you can perform the following actions

    • Edit the First Run Date and Run Time

    • Edit the Recurrence to adjust when the task is scheduled or repeated

    • Users cannot change the Scheduled task

  • Users can enable or disable a schedule by using the Enabled checkbox.

    • By disabling a schedule, users will stop the schedule from running.

    • When the schedule is enabled, it will run according to the First Run Date and Recurrence.

  • Navigate to the History tab

  • Click on the Schedule you want to see details for

    • Revision history shows when the schedule was created, when it was edited, and each time it was run.


Schedule Calendar

The Schedule Calendar displays all your schedules in a calendar view. Users can also see other automated processes, like Reporting Workflows, in the calendar.

This view brings together many elements of your reporting cycle from automatic reporting generations to automated email reminders.

  • From the Control Panel click on Automation

  • Select Calendar

  • Use the Filter Calendar search bar to enter keywords and find results easily

  • Click on the dropdown menu to search by specific types
