User Types - Scorecard Admin

This article explains the actions that users with Scorecard Admin permissions can do in ClearPoint.

Scorecard admins can add, edit, and manage elements like Objectives, Measures, and Initiatives. They can also create Summary Reports, generate email reminders, and send them on schedule to ensure your users update their data on time.


Scorecard Admin

Scorecard Admins can enter information, view elements, and make changes to update fields, additionally, they can add new elements to Scorecards like Objectives, Measures, and Initiatives. In addition to this, Scorecard Admins can manage Scorecards they have access to, create new Summary Reports, create and send reminder emails, and set schedules for reminders.

How to set up permissions for a user

  • From the Control Panel click on System Settings

  • Select Manage Users

  • Locate the user you want to set up permissions for and click the edit Pencil icon

  • Under User Type select Scorecard Admin

  • Navigate to the Scorecards and Home tab

  • Under Select Scorecards mark the checkbox next to the Scorecard this user is going to be Scorecard Admin

  • Once you are done with your configuration, click Save


Managing Scorecards

Scorecards can be thought of as folders that store elements like Objectives, Measures, and Initiatives.

  • Select Scorecards & Elements from the Control Panel

  • Choose Manage Elements

  • Click on Scorecards

  • Locate the Scorecard you are going to be working with, in this example, ‘QBO’.

  • Click on the edit Pencil icon

  • You can update the Status by clicking the dropdown menu

  • Navigate to the Edit Fields tab

  • You can edit the Name

  • Once you are done with your changes, click Save


Copy Forward Scorecard

You can copy information across a Scorecard from one Reporting period to another one, it includes Statuses, Analysis, and other information of your choice.

  • Select Scorecards & Elements from the Control Panel

  • Choose Manage Elements

  • Click on Scorecards

    • Locate the Scorecard you are going to be working with, in this example, ‘Eastern Division’.

  • Click the three dots icon

  • Select Copy Forward Scorecard

  • Use the dropdown menus to select the Source and Destination Period

  • Mark the checkboxes of the elements you want to copy under Elements to Copy

  • Under Data To Copy mark the checkboxes of the data you want to copy

  • Once you are done with your selection, click the Copy Forward button


Summary Reports

ClearPoint has several reports available like Gantt Chats, Dashboard Reports, and Alignment Matrix Reports.

  • Select Scorecards & Elements from the Control Panel

  • Choose Manage Reports

  • Click on Scorecard Reports

  • Locate the Scorecard Report you are going to be working with, in this example, ‘Default Grid’.

  • You can also select Measure Reports

  • Locate Dashboard

  • You can also select Initiative Reports

  • Locate Gantt Chart


Managing Reports

Summary Reports offer a detailed overview of your organization's progress and highlight the areas that require improvement.

  • Select Scorecards & Elements from the Control Panel

  • Choose Manage Reports

  • Click on Measure Reports

  • Locate the Measure Report you are going to be working with, in this example, ‘Summary Report’.

  • Click the three dots icon

  • From here you take any of the following actions

    • Edit Report

    • Favorite Report

    • Duplicate Report

    • Delete Report


Send reminders

Email reminders can be sent on a schedule to remind users to update their information.

  • Select Automation from the Control Panel

  • Choose Reminders

    • From Manage Reminder you will see your existing reminders and scheduled reminders

      • Click the three dots icon, you can click on Send Reminder

      • Select the Reporting Period

      • Click Send


Briefing Books

No matter which Scorecard you are in, you can always create and generate Briefing Books.

Briefing Book templates allow you to hand-pick reports and details pages from Scorecards you have access to and turn them into a convenient PDF report.

  • Select Documents from the Control Panel

  • Click on Briefing Books under Templates

  • Click on the Plus icon

  • Under Template Name, enter the name of the new template, in this example, ‘Monthly expenses update’.

  • Under Access select Global from the dropdown menu

    • You can also set the Access level to Private or Restricted

  • Navigate to the Scorecards tab

  • Mark the checkbox next to the Scorecard you want to include in the report

    • Once selected, the Scorecard will appear on the left panel

  • Select the Scorecard you want to include information from

  • Use the tabs to navigate to Measures

  • Select Measures under Summary Reports

  • Choose one, multiple, or all Measures

  • Once you are done with your selection, click Save

  • You will find your newly created report under Briefing Book templates

Your Admin has set what you can update in ClearPoint, if you have any questions about your access reach out to your ClearPoint administrator, they will be able to help you with any access-related questions and make any changes if necessary.
