Preserving Historical Information
Congratulations! You just completed a full year of tracking your organization’s strategy and performance. There were likely many successes and goals achieved, as well as areas identified that you may need to work on going forward. But no matter what, it’s important that all that hard work isn’t forgotten and that you can reference it if necessary. Luckily, there are several ways to preserve your historical information in ClearPoint.
Duplicating a scorecard allows you to continue reporting on your current scorecards, while also maintaining a historical version, so that anyone who has access can view historical updates.
Archiving a scorecard is helpful for keeping a clear record of scorecards you are not longer using. Archived scorecards can be easily unarchived if you ever need them.
If you create new scorecards each year, locking old scorecards would likely be the best method of preserving your historical data!
Snapshots allow you to preserve a copy of your entire account as a view-only archive, which can be helpful if you are planning on making widespread changes to your account! Only Administrators can view Snapshots.
Reporting Periods and Frequencies
Once your account has been cleaned up, setting up your reporting periods and frequencies for the new year is crucial as you continue inputting and reporting on data in the system. Reporting Periods that are not longer in use can be easily archived, this will help you focus on active Reporting Periods only.
No need to stress though, the whole process takes less than 5 minutes and can be done by following the instructions below:
To speed this up, we suggest adding multiple reporting periods. You can even copy and paste them in from the table provided in the article. Super easy!
Archive any reporting periods you are not using in the new year for calculations and charting.

Account Configuration
If the content of your strategic plan is changing at all during this time, it’s a good idea to review the structure of your account as well!
For example, it may make sense to adjust the fields included on the detail pages of your strategic elements, create any new custom fields or remove those that will no longer be used, and set a new default layout to maintain uniformity for any new elements added during the year. Additionally, you can archive custom fields to focus on active custom fields only, don't forget you can easily unarchive custom fields with a few clicks.

With the individual element detail pages organized and capturing the right information, updating summary report, briefing book, and HTML export templates should be a breeze! Managing Users
An account is nothing without its users. They are responsible for inputting, analyzing, tracking, and reporting on your organization’s strategic information in ClearPoint. At the beginning of the new year, take some time to review user activity and make sure you are getting the most out of your user licenses!
